You are planning to celebrate your wedding anniversary. Write a letter to a hotelier in your town.
In your letter, you should say:

What the requirements are?
Ask the availability and the estimate.

Dear Madam,

I am writing this letter to book a hall at your hotel ‘Jennifer’, which is located near to our town.

It is our 25th wedding anniversary and I was looking for an appropriate place to make this auspicious occasion memorable. I have heard that your four-star hotel have three big halls and two smaller ones, in which events and celebrations are conducted. I would like to book one of the small halls from 6 pm to 11 pm on the 31st of this month. I would also require 20 tables and 100 chairs for the guests. The final thing I would like you to arrange is the food and beverages for around 120 people.

It would be appreciated if you could inform me the availability status of the hall and the estimate of the hall rent and your services well ahead of the celebration.
