Dear Mr Simms,

I am writing to bring your attention towards some issues in our company’s reception area and suggest some measures to address those.

The first complaint is that the area is congested because of its rectangular design. In addition, there are five shelves of books and files, which consumes much space which could otherwise accommodate more guests.  

Being a service providing company, our reception area is highly important because this is the first place where we meet our clients. It would definitely make a positive impression on them if they are welcomed there and made comfortable.  

I would suggest you to transform the design of the guest seats to oval instead of its rectangular shape. This would create more room to accommodate at least 100 clients in the area. Moving the shelves to the store-5 would give more space and relieves the congestion.
